AI where useful. Deterministic rules where sufficient. Human judgment where it matters.

The leak is rarely one tool.
It is what happens between them.

A missed call sits in a phone log. A form reaches an inbox. An estimate waits on someone's memory. The owner sees activity—but not the full path from inquiry to outcome.

Infrastructure for the full customer opportunity.

We start with the operational result, then choose the process, software, automation, or AI required to make it dependable.

Visibility & Optimization

Reporting that shows response, contact, bookings, follow-up, exceptions, and the records that need human attention.

  • KPI dashboards
  • Exception queues
  • Adoption reviews
  • Continuous improvement

One inquiry.
One owner.
One next action.

A connected operating layer for service businesses that already generate demand—but need a more reliable path from first signal to final outcome.

01Capture

Calls, forms, texts, referrals, and estimates enter one trackable flow.

02Acknowledge

The customer receives a prompt, approved response or human handoff.

03Route

Need, location, urgency, and ownership determine the correct next step.

04Pursue

Tasks, reminders, and follow-up continue until a real outcome is recorded.

05Measure

Management sees response time, contact, bookings, losses, and exceptions.

Understand the operation before changing it.

Every engagement moves through controlled gates. The business approves the workflow, messages, responsibilities, and release conditions before anything touches live customer traffic.

  1. 01

    Diagnose

Map the current workflow, confirm the real friction, and establish a baseline.

  2. 02

    Design

Define the future flow, human boundaries, data, ownership, and success measure.

  3. 03

    Configure

Build the smallest useful system across the client's approved tools.

  4. 04

    Validate

Test normal, urgent, incomplete, duplicate, failure, and takeover scenarios.

  5. 05

    Launch

Release through a controlled channel, team, time window, or traffic segment.

  6. 06

    Optimize

Review events, employee adoption, exceptions, and measurable improvement.

A dependable system is visible, owned, and recoverable.

Rule 01

Use the simplest dependable intervention. Process before software; deterministic rules before AI when rules are enough.

Rule 02

Every active opportunity has an owner, a state, a next action, and a due time.

Rule 03

Automation handles repetition. Humans retain judgment, approvals, safety, pricing, and exceptions.

Rule 04

Failures become visible tasks—not silent losses hidden between systems.

Project scope and pricing follow diagnosis. Third-party software costs stay transparent, and no implementation begins without written responsibilities and release controls.

JB / 01
“The market does not need another chatbot dropped into a broken workflow. It needs someone who can understand the operation, redesign the handoffs, and measure whether the new system actually works.”
Jose BenitezFounder, AutomaraPaterson, New Jersey

Established operators with real demand and visible friction.

  • Calls, forms, and estimates move across disconnected tools
  • Owners lack clear visibility after the first customer response
  • Staff spend time on repetitive intake and follow-up
  • Leadership will assign an internal owner and measure outcomes

Generic lead generation or unsupervised automation.

  • Paid advertising or guaranteed revenue
  • Replacing the client's sales or service expertise
  • Autonomous pricing, safety, or emergency decisions
  • Technology without process ownership or staff participation

Clear before we begin.

Do you replace our current software?+

Not by default. We first assess whether your existing tools can be connected, configured, and used more consistently. Replacement is recommended only when the current stack cannot support the approved workflow.

Is Automara an AI agency?+

Automara is a systems company. We use AI where interpretation, classification, summarization, or conversation improves the workflow. Simple rules, integrations, training, or process changes are used when they are more dependable.

What happens after the first conversation?+

If there is a credible operating problem and a responsible internal owner, the next step is a focused systems audit. You receive a verified current-state view, a priority recommendation, success measures, and a controlled pilot scope when appropriate.

How is a project priced?+

Pricing follows diagnosis and reflects complexity, access requirements, risk, implementation effort, and measurable business value. Software and usage costs are identified separately rather than hidden inside an unclear package.

Bring us the workflow you cannot fully see.

Start with a practical conversation about calls, forms, scheduling, estimates, follow-up, or office workload. No diagnosis before we understand how the operation actually runs.

  1. 01

    We review the operating context.

  2. 02

We conduct a short triage conversation.

  3. 03

If there is a real fit, we define the audit.
